welcome to the April Start you see test Administration training thank you for being here please remember this training does not take place of reading the appropriate manual we provided you with these prior to the December start uoc Administration everyone got a copy of the STAAR test administrator manual for the 2018-2019 school year and those of you that usually assistance with oral Administration received the be of the oral Administration guidelines as well here is the assessment schedule for the April eoc's we have English 1 on Tuesday April 9th we will be conducting English 1 make up the following day then we will have English to on April 11th with makeups for English 1 and 2 on that Friday test security and confidentiality assessment instruments are considered secure and the contents of the text including student information User obtain and their Administration are confidential each person participating in the student Assessment program is required to maintain and preserve the security and confidentiality of all test material and student data and must also handle this in in strict accordance with the instructions contained in the manual maintaining the confidentiality of the Texas student Assessment program involves protecting the contents of all secure test materials including test booklet online assessment and test ticket and completed answer document test security involves accounting for all secure materials and confidential student information before during and after each test Administration test booklet and answer documents must be in a secure limited access locked storage when not in use no person may view reveal or discuss the contents of a test booklet or online assessment before during or after a test station unless specifically authorized to do so if circumstances necessitate a test booklet or online assessment the examen permission was first be obtained from ete a no person may duplicate print record write notes about or capture portion of a security assessment instrument paper or online without prior approval from Team Lee students May respond to test questions perform calculations and create rough draft to written response test administrators who ask permission to view secure materials in order to provide an approved accommodation such as oral or oral at student request or as part of a program specific test Administration process must be reminded that they are viewing secure content and that we finding two test questions recording the information they see scoring the test or discussing the content of the are going to be required to sign a detailed statement preparing classrooms for the English 1 and English 2 EOC we will be using the upstairs history Wing this probably will include some of the science classrooms the law enforcement classrooms and the art classrooms as well being that we do have big numbers all bulletin boards and instructional displays in the classroom must be covered if they can provide assistance or a direct source of answers if in doubt cover it up where I can get all chests that are going to be used for testing must be ready in neat rows with sufficient space between the rows and definitely cleared of textbooks and other materials not required for the test make sure the room is in order and that there aren't any handouts or books under the desk please time limits for the English assessments the students will have a five hour time limit to complete the test this is not the lunch break okay if you do have a student who has the accommodation of extra time it will go into the end of the school day which will be at 4:15 p.m. you will receive a to use to monitor the test time the time is going to after the test administrator has read the directions and tells the students you may begin start and stop times must be recorded on the seating chart for each student on for the class has a whole students must report all responses in their answer document before the end of the time . dictionary policy dictionaries must be provided to each student taking the English one and two exams dictionaries will already be available in the testing room ahead of time and he Susan can also use a bilingual dictionary if they chew just go ahead and let them know they're available and if they want to use a bilingual dictionary they can just raise your hand we won't have enough bilingual dictionaries for every student but they will be also in the classroom available to use also we're asking that you please leave the dictionaries neatly stopped in the front of the testing room once testing is complete so that they can be ready for the following day picking up test materials will be giving out test materials out of her office which is room 227 starting at 7:30 a.m. when you come in to pick up your material you're going to be required to verify and count all test booklets and answer documents if you are testing in an online testing room you'll be required to count the test tickets at this point you will sign out the materials and report to your designated site but please make sure not under any circumstance to leave any of the testing materials unattended the items that you will be receiving are listed below the following are items that you need to keep in mind before testing the first thing you should do is take your yellow State Testing do not disturb sign on all entrances to the testing room verify that you have all your your necessary testing supplies and that the room setup is acceptable and at the window to the door is not covered as soon as they're coming in your having them Place their belongings in the front of the room and you're collecting all of their phones and electronic devices and making sure that they're powered off and statement at the top of the form pass it around and have students find that as well and the before you start reading the directions to students you can go ahead and distribute pencil after documents and dictionaries when Distributing answer documents please make sure that each student receive the document with his or her name on it direct them to verify their birthday and local ID and notify us immediately if there is an error before testing also asking not the day of but days before that you go ahead and look in your manuals and read the directions so for paper test Administration directions they're located on pages 45 through 50 and 4 online test Administration directions if pages 57 through 64 there are two different sizes of call out boxes that are used the narrow narrow call out boxes as contain the procedural instructions but they don't have to be read aloud to students the wide call out boxes contains or program Specific Instructions that should be read aloud to directions making sure that students are not bubbling in anything or working ahead testing should begin at around 8:30 a.m. after the directions have been read you posted the start-stop time on the board the seating chart and on the blue start and stop time form that goes posted on the door no later than 8:45 for the English 1 and English 2 EOC the test administrator May read aloud in pumps to any student who requested the assistance however reading or disgusting student composition is not allowed at any time at no time before during or after the administration test administrators are record your responses on the answer document so they don't run out of time communicate orally and in writing the amount of time left to test in 1 hour intervals and in 15 minute intervals during that last hour for students with extra time if you have a room with maybe one or two extra timers make sure students know that they that the time countdown doesn't pertain to them and that they have until 4:15 and if you're in an extra time room you don't really have to count down the time but you can just give them what give them the time and let them know what time it is so that they Pace themselves and make sure that they finished before 4:15 and then of course you're actively monitoring your students during testing so what is active monitoring test administrators are actively engaged while students are testing moving about the room and inattentive we want to make sure that you guys ensure that soon as remain seating throughout the entire test session students are not allowed to talk to one another while testing is in progress if your room does finish before others we are asking that you do not turn any of their belongings backpacks scratch paper pencils and especially their electronic devices we shouldn't walk around the room and see you on your computer or see students with their headphones I know here room might be done but again no one can be doing anything other than putting their head down until the testing has completely ended with in the whole entire wing and that is first through eighth. So what is not active monitoring we should anyone sleeping using phones using your at your Apple watch devices using the Apple earbuds if you don't want to see any type of electronic devices out and please remind the note there at the bottom this also includes Hall monitors especially Hall monitors you know we have District central office Personnel that come to come to school and we shouldn't see anyone on their cell phones checking and texting checking their phones in the hallway or in laptops or anything like that socializing please when you are out in the Halls do not congregate with your friends or any of your colleagues and and socialize okay we need everyone to be at their designated spot to doing their job and this also includes the test administrator and Proctor I know you're you're in the room with the Proctor I just make sure that you both are again actively monitoring and not you know in the corner social you're not allowed to be grading papers during testing we shouldn't see anyone reading reading the newspaper reading anything online there should be no computers using the computers checking your emails post grades responding to a parent email please stay off any computers are you sure also never leave student unsupervised and if you are not being attentive or you leave them unsupervised that gives them chances Tucci and we need to prevent cheating as much as possible so the lunch schedule for Tuesday and Thursday is going to be the same students will be served lunch at approximately 11 a.m. students are going to be asked to play answer documents inside their test booklet so that all secure materials can be collected by the test administrator if you are in an online testing room that students can either pause or log out of the test they can log back in using the information turn on their test ticket please make sure that you are monitoring your students and that they're not discussing any test content during the lunch break test admin you are going to be required to document to stop and restart X on your seating chart the boy and the blue start and stop time Forum that goes outside the door the lunches will be collected in the hallway do not forget to update and send your lunch roster with the First Student in line and by updating the lunch roster we need Crossing out absent students please remember not to dismiss your students until we tell you to do so students are going to be required to throw their trash in the provided trash bags and you are going to leave the trash bags outside in the hall when students are done eating redistribute the testing materials and begin testing again all students should be given 20 to 30 minutes for the lunch time we are also asking is that one of you either the proctor for The Testament test admin is Sport your students out into the hallway just to assist with the noise level during testing kreyol test admin and Proctors will be given a 45 minute lunch break after the students can you please to the schedule for your lunch breaks so the test admin will go from 12:15 to 1 p.m. and the Proctor will go from 1 to 1:45 collecting testing materials from students when a student is done testing collector answer document test wood pencil dictionary and other materials such as supplemental aids colored overlays Etc scan the completed answer document to make sure the student has recorded their answers if they have not done so you can go ahead and say you have not recorded your responses on the answer. please go back and mark your answers on it now then you should return the students materials and have them report their answers a students will not be allowed to record any answers on the answer document after the time. Ends only students can erasers Mark Sardar condenser toy circles on their answer document if you noticed that they've left any three marks on their Scantron go ahead and stayed be sure to erase any stretch marks that you might have accidentally made on your answer document the following items that you need to check as a student's turn in their testing materials you want to make sure that the student name is printed on the correct test booklet the book number is written correctly on the answer document and match is the booklet number on the seating chart at The Forum where is written and bubbled incorrectly on the answer document and matches the form number on the front of the students test booklet that the student has bubbles in all answers and there are no stream Mark and you also want to make sure that the students have not bubbled in their name and date of birth is special those pre-coated answer documents and if they have please ask them to erase it then have your students sit quietly upon completing the test students will be blocked for testing first through eighth. We will not send anyone back to class any sooner when will be released and will report to their ninth. After testing verify that no students answer documents have been left inside the test booklets you will be organizing your test booklets numerically your answer document will be alphabetically if you are in an online room you need to return any scratch paper and students has tickets also to us and we're asking that anyone that is absent make sure that you get there Scantron and their chest booklet and separate them from every so you'll have your test booklets in numerical order answer documents in alphabetical order and any absent scantrons and test booklets put aside when you're ready to return your testing materials you need to make sure that you remove the State Testing sign from the door I do not forget to unplug the clock and place both of these items back into your testing bin when you come into the testing office to return your testing bin we're asking that you return all materials and supplies so this consists of your manual the pencil box with a firebox the clock State Testing signs pocket folder the yellow folder with all the testing form and the restroom past were also saying to return all the items that were in the supply box such as the tape the high the pencil sharpeners know everything that's included please please please make sure you bring it all back to us answer documents are not in alphabetical order on your test booklet numbers are not in numerical order we're going to have to ask you to step out of line and to correct it once you are with us we are going to count and verify all the testing materials have been returned and that all the forms were completely completed correctly so please make sure that you have everything signed and completely filled out before you come into turn your materials Kate and then will clear you and will sign you out before you leave any late students for paper testers I know that in the past we've always had a late room so we will have a late for any late arrivals however it's different for paper vs. online tester silver paper testers do not allow late student into your room if the student arrives after your room has started testing your Proctor will go ahead and collector test booklet and answer document and  them to the designated late room never let a student carry their own testing materials in the hallways please if a late student reports directly to us a teacher from the late room will collect their assigned test booklet and answer. from you for the directions can be read to them once a teacher there has read them the instructions they will go ahead and a sport that a student back to your room with their testing materials and also indicate what their individual start time was on a Post-It note so that way you can go ahead and Mark that down into the seating chart give students arrived after we have collected the green attendance forms from your door which should be around 9 a.m. please let us know so that we can correct it and make the change of what we'll be doing is looking for a the one that's not in your room so we don't want to be looking for any students that arrived late that we just we weren't informed and we're looking everywhere for them but they've been there the whole time so please have someone come and let us know where that a homeowner to know to come and I'll give us the message okay if you are in an online testing room and a student arrives late you and or your Proctor will read the directions to them individually and quietly we are asking that you do not hold shooting out into the hallway and reads the directions to them in the hallway you can go ahead and do this in your room the students are testing in the online room will have a headset on so they will not be bothered by you reading the directions quietly if a student reports directly to the testing office the student will be directed to their assigned testing site we're not going to pull those students into a late instructions room if the students arrive after we collect the green attendance form please make sure that you or Factor comes and informs us so that way we can make the change on the attendance roster and the reason for doing this is that when you're reading the instructions for the online rooms it from the students to click and enter and type certain things and they do that in the late room so there's really no way to send them to a late room so just please make sure that you just sit next to him quietly and just read those instructions to them breaks so there are breaks that are included in the timer so for these brakes you do not stop the time so the student needs to drink water go to the restroom have a snack or is taking a short physical or mental break you do not stop the time the brakes that are not included in the time limit would be consolidation of student emergency situations that erupts interrupt testing medical breaks or lunch please remember that during the test test booklets must be close with your answer document brakes for online testers students that are in an online testing room should pause their test for brakes and this includes the restroom breaks deposit a students will take the pause button the test administrator should provide assistance anyone needs an ancestors with that and to resume a test the students will just click on resume if they've been gone for more than 30 minutes it'll automatically log them off but not to fear if they use their test ticket and enter their credentials they will resume testing in the event of a school-wide emergency that causes A disruption in testing ensuring the safety of our students is top priority student should leave their test booklets and test information where they were and follow this what procedures if you are in an online Administration room testing staff should not instruct students to logout before leaving accessibility features during State assessment certain accessibility features may be provided students based on their needs these procedures and materials are available to any student that regularly benefits from the use of them during classroom instruction some of the common ones that you might see on the day of testing would be a student that are required to be Pro highlighters blank Place markers colored overlays Etc another one that's right common is supplemental aids are they will be provided to you and your testing bin but please do not forget to collect them when testing is over and put them back in the bend a complete list of disability features can be seen on pages 13 and 14 of your test admin manual designated supports are locally approve supports for students who meet eligibility criteria a complete list of the support can be found in provided below you can also refer to page 15 of your test administrator manual for more information about these accommodations as a test admin you need to make sure that students have these available doesn't need support so we need to make sure that refer to your pink accommodations page which will be found or located in your yellow folder you may have one page you may have several Pages we ask that you read through each of the pages and assign each one the test traitor should also discuss the designated supports with the students in advance of the test session to explain the materials or types of assistance that will be available to them during the assessment for instance if you are in NOS our room which is oral at student request room you want to let the students know that if they need oral assistance that they can ask for it or you may be in a regular room with one student who has extra time you will make that student aware that pay even though I'm counting down you know these five hours for the student this one particular student will have until the end of the day which is at 4:15 the designated support in which test questions and answer choices are read aloud to astute who meet the eligibility criteria you can get more details about the oral Administration in the administration or limitation guidelines for students taking the Star online oral Administration will already be delivered to them using the text to speech SpongeBob functionality via headphones if you are in an online room that everyone will have Text-to-Speech those students that have Text-to-Speech they will need to have headphones everyone else will not need to have headphones oral Administration can be read for reading it is only the questions and answer choices for the revising section it's the passages questions and answer choices and in general if you are in an online room and a student has an accommodation and want something read to them you are required to read it to the student this also applies to reference material so if they have oral all-oral it student request or oil change support if they have a reference material such as the dictionary entry or the bilingual dictionary entry and they want you to read it to them you are required to read it to them oral Administration what cannot be read for the reading portion of the English exams you cannot read the reading passages okay gesture questions and answers not reading passages for the editing portion of the exam you cannot read anything you cannot read the passages the questions or the answer choices to reduce the risk of an irregularity we are asking that you as the test administrator read thoroughly through the yellow hand out the checklist that's going to be provided to you we want to avoid any testing irregularities and Ensure that you are in compliance with campus policies and procedures please please please read through it's going to tell you exactly what to do the testing handouts and forms make sure to complete all your testing forms with accuracy and make sure you sign and date it's extremely important that they are free of any errors as they are considered state test Administration record the first form that we have is the room attendants the green form that you post on the door make sure that this is posted on your door by around 8:45 a shows up after that we like we said earlier please let us know so that we can make a correction on your attendance roster if you noticed down below there will be a section that says total students assigned total students the total students assigned should match the number of students that are on your roster so in this case there's 28 students that are assigned to the room there should be 28 students assigned the number of students absent should match the number of absent check marks above make sure to sign also before you take this to your door the purple form the electronic device form needs to be completed after collecting the student electronic devices and ensuring that they are powered off so just because you collect them we want them turned off as well make sure that you read the statement that is printed on the top of the page and have the students signed by their name that your test admin name will already be printed there is the statement written on the form but we also provide an additional copy so if you want to start passing out the form ahead of time and read the statement that's fine every student needs to to sign in this includes late students and then please make sure that you sign on the bottom of the form whether they have a cell phone or not they all need to see the 5-Hour start-and-stop time form is the blue form that also goes on your door go ahead and fill out the information at the top and this form gets posted after you have read the directions and have started testing make sure you include the start which is when your class started as a whole the projected stop time would be 5 hours from that start time plus the 30 minutes that you're going to give your students for lunch once we have lunch we'll go ahead and write the time is that weed that you break for lunch the actual stuff time would be the time that the last Union is Jen testing in your room if you have any extra timers assigned to your room or you are in an extra time room you want to Circle yes for the extended time testing room the next form the hall pass request form it is in Orange you will fill out your information at the top of this form and the students will sign in and out if they need to take a break students are to fill out their complete name and ID the test admin will document the Stop and restart time Android additional comments in the Commons call him if needed if they are taking a restroom break please make sure that they have the neon restroom pass lanyard around their neck and make sure that they bring it back because a lot of time students will leave these passes and they're wet and we need to keep an eye on them medical breaks form the red medical breaks warm is only to be used if a student takes the medical break a nurse visit during the test students will be need to be escorted to the nurse with a staff try and limit nurse visit to emergencies only we also will have nurse passes included in the supply box so you can go ahead and fill out the nurse pass and the medical breaks warm and hopefully we will have the nurse available upstairs so that we don't have to walking to his downstairs to the nursing the nurse's office during testing here is the seating chart which will be printed on white paper you need to complete the start time which is after directions have been read so as soon as the best admin says you may begin that will be the official start time the final stop time is the start time of the last student in the room please make sure that you include the Stop and restart time for lunch as well you're also going to individual going to indicate the individual stop time for each student if you do have a student who comes into your room late on that line is where you will write the late entry their start time and stop time and so there is an example written right there at 9:30 flash 12 12 26 you're also just like on the attendance roster going to indicate who is present and who is absent you also need to make sure that you complete the seating chart sign the form and make that you write the students test booklet form number the booklet number will already be generated in printed on this form however the form number will be not so when students start turning in their test materials were asking that you complete the form number more information about the seating chart like Miss Desiree was saying the student booklet numbers will already be printed on the seating chart and it's extremely important that you carefully provide each student the correct designated test booklet to avoid a mess on your seating chart only check often is there a present wait to check off students that are absent because more than likely we will find these students or they will show up late a lot of times teachers were cross everything out and it's very very difficult for us to understand who's here and who's not make sure that you're accurately keeping track of time the official stop time for the class is when the last you can finish has a lot of time teachers will forget to put the official stop I'm at the top right-hand corner so make sure that that stop time matches with the stop time of the student that finishes last and do not include any students that are absent in that little seating chart grid skippity and if they show play you can go ahead and pencil them in but we only want students that are physically present in your room to be to be indicated there on the seating chart grip here is the lunch roster which will be printed on a salmon paper make sure that you mark out all students that are absent when prompted to do so you'll be asked to line up your students in alphabetical order and the First Student in line will provide this to the cafeterias. The pink room accommodations form room accommodations will tell you which students in your classroom have accommodations and what does accommodations are you need to make sure that you're reading every single page cuz some of you might have multiple pages and signed each one and make sure that students are being provided with the correct accommodation if you have a question or concern about the accommodations please let us know the following are items that students need to fill out on their answer document so as you're reading the tester actions students are going to be prompted to write their test booklet number which is located on the back of their test booklets in the upper right hand corner of their Scantron the test admins are responsible for verifying that the same number is indicated on be seating chart there is also a call out box in the directions on page 47 that's going to prompt students to write down their test form number on their answer document the form numbers are located on the front of the test book has admins please make sure that you double fact that students fill out this portion correctly when collecting the students test know what you the test admins will need to fill out on the answer document in the past you had to fill out the day and the designated the pores excetera excetera but this time around all you are required to fill out would be the score code you will bubble in the little the letter F at the bottom for score if the student has completed their test this will be done when a student turns in their test if you have a student that is absent leave it at phone and do not bubble in anything else like I said you will no longer be required to fill out and bubble in the date the form number will be filled out by the student this time around so just like Desiree said double-check that okay what we will fill out on the answer document so we will have already completed the accommodation section for any student that has them so please do not change or bubble in any additional information in this section testing sites you need to leave classroom computer lab clean and in order for the following testing day many times we walk into the computer lab door classrooms after testing and everything's left in disarray we need to make sure everything is organized and getting ready to go for the following day so please double-check make sure the chairs are pushed in make sure the desks are in order and in rows and keep it organized when in doubt ask if you have any student that Quest if you about their testing accommodations or about anything in reference to the test format the first thing you need to do is let one of us know immediately many students have had their accommodations change recently and may have less designated supports then used to so if they have questions please check with us regardless of what your pink accommodation page Mays date it is important that all students receive the correct accommodations and are tested appropriately teacher availability if you already know that you're going to be out for a school function in the field trip a game if you're going to be traveling if you have a training for whatever reason if you know you're not going to be here on campus from April 9th through the 12th you need to let us know we have a hand out here by are you signed in and you need to write your name on the list under the day that you're not going to be here so we know not to include you on that day we're asking that you also include the reason why you're going to be out and just because you're filling out your name on this list does not mean that you don't need to let an administrator know you still need to let your administrator know and the dean of instruction know of any absences as well but we just want to make sure that we're not putting you on the testing assignments list for that day and then we're going to have to make changes at the last minute and then free crazy so we need to know ahead of time who's going to be here on who is not going to be here when you have finished viewing this presentation go ahead and let us know so that we can provide you with the oath and you can fill that out for us thank you very much
